A couple weeks ago, we spent some time reworking the event portions in SalesdeskSuite. A major revamp went into how we displayed the events. Along with each event, we now provide extra information on each popup such as:

Event title
Start and end time
Contact Name
Location
URL
Description

Another cool feature we added in here was the legend. Since we allow the user to add different types of events, each event type is assigned a color. So if the user wanted to see only "Personal" events on his calendar, all he had to do was to click on the personal legend and the calendar quickly filters outs other events.

Added new updates:

1. Added new report programs for Open Orders, Back Orders, Open Purchase Orders, Purchase Order History, Vendor Invoices , and Vendor Invoice History. All work like Sales Analysis where you can build the reports and save them if you choose. NEW NOTE, we have been asked to added ordering capabilities in, they are scheduled.

2. Sales Analysis, added ability to export to excel.

3. Added quotes and ability to update a quote to an order.

4. Added in logo’s per warehouse. This will allow custom logos to print on each order coming from different warehouses.

5. Added order class to Quickbooks sync.

6. Added ability for Item notes to be set to print on Order receipt, Picking slips, Packing Slips, Invoices, Quotes, and Purchase Orders.

SEO is a big thing to consider when creating a website and of course, us being a web design and development studio, we try to follow SEO best practices to ensure our clients get quality coded products. In this article we will see how one of our products, BlogSuite, has the powerful feature of easily customizing the default blog page "title" and "description" tag.

How to get there

When the admin logs into the BlogSuite control panel, they click on "Settings" and will then be presented with general blog settings. Scroll to the bottom, and there is a "Main Blog Settings" section. Here you can edit three fields labeled "Default Title", "Default Meta Description" and "Default Meta Keywords". Why is this feature important? Well it offers you the opportunity to define content that may relate to your customer/user base. Search engines such as Google or Yahoo, will comb through this defined content and will use it as a means to decide how relevant your content is to someones search. The screen may look something like this:

After you add your content and hit save, the new blog template will contain this new information on the home page of your BlogSuite powered site. If you were to check your home page's source code, you would see the following code updated at the top:

Is this all that matters?

When it all comes down to it, the answer is no. Although defining this content will help with targeting your website to certain searches, it's not the only thing that a search engine will look at it and analyze. Other factors such as the number of outer links connecting to your site, how much traffic you receive, and how often your site is updated are just some other key items you should always consider when running your online site. We do highly suggest starting an active blog as it provides a channel for you to reach out to your customers and for them to respond back, thus creating more traffic.

Roles in FileitSuite

All users that have access to FileitSuite are assigned to a certain role. The role that a user has determines the kinds of access privileges he or she has in FileitSuite.

Why roles you might ask? Well, say you have an accounting, a legal, and a human resources department at your work place. There are bound to be documents to should only be accessible to the accounting team, but not the legal team and vice versa. In FileitSuite, this is made easy by the built in role management.

A user can be set to belong to more than one group. To make setup easier, FileitSuite comes with a few roles predefined.

Administator - a user with this role has access to all menu items and actions in FileitSuite
Processor - a user with this role can view and process documents(add metadata, etc)
Advanced - a user with this role can view and upload documents, but is not able to process the documents.
User - this is the most basic role. In this role, the user can only view the documents.

One of the things we love to do here at Matrixwebs is to make the Suites easier to use. Case in point - Distribusuite's Order Entry system.

When we first built the program, it was done using the staid old way - web forms. The page reloaded when new items were added into order and so on. This worked fine, but we realized that when someone was entering more than 5 items, the reloading was just going to take up too much of their precious time.

So, we then introduced Ajax into Order Entry. For those of you who don't know what Ajax is, it's simply a way to send request back and forth from the client end (your frontend program) to the backend (where your data is processed, saved, etc) and vice versa. This removed the reloading of the pages in between adding items and made the process a lot faster.

Then, we sat back and breathed a sigh of relief. Not for too long though. As curious individuals, we then started getting live feedback from users. They liked what they saw and tried, but they wanted more. This started the wheels to turn in our heads and we decided to make it even better.

Be prepared to welcome the third iteration of Order Entry. This one is much, much faster, provides more user feedback on each action and well, just more forgiving. We're not in the last stages of finishing this iteration, it will soon be in your grasp anytime soon!

Legalsuite updates 4-07-09

We have prepared a list changes in the latest version. Here is a list of changes in the current version:

1. First and most important we have continued to update the help section and video tutorials. Find them here: http://help.matrixlegalsuite.com.
2. Updated the Proof of Service search to be easier to use. We have updated this on the customer portal as well for your customers.
3. Fixed the pager in Attempt codes / Status updates..
4. Fixed the way Copy orders are auto assigned to employees and contractors..
5. Continued to add in PDF Proof of Service forms and Subpoenas.
6. Finished updating the accounting / Invoicing section. Many new abilities have been added.
7. Fixed issues with auto emailers goign to customers with status udpates and new orders.
8. Fixed a bug in the Credit card auto bill program.
9. Added in Time zones.
10. Added two new programs, one allows you to import orders from your customers data and the second auto emails contacts their status updates nightly for ALL their orders.

Next version we promise to have billing by statement, weekly, and monthly and credit holds completed.

Area Maintenance

One of the best parts of LegalSuite is how it takes out the complexity of a task and makes it easier the the end user. For example, there is an Area Maintenance program that automatically assigns a work order to an employee or an affiliate in an area where the work order is created for.

How does this work? Well, first, create an area using the program. Then, for the area created, assign it the state, county, and zip codes. Next, assign employees to the area. And that's all there is to it. Now, whenever a new order is created, it gets assigned to the person in charge.

In all businesses, it's always good to keep track of the daily operations of the business, such as the total orders received in a day, total sales for that particular month, how much sales has been generated up to that day for that year and so on.

DistribuSuite takes all that into consideration and puts those information into an information panel that is always available when you launch the program.

On top of that, DistribuSuite also comes with a unique feature that will help you or your co-workers with remembering specific tasks. Simply add a note into our Global Notes program and that note will be displayed until it expires.

Ever send a few emails to a co-worker about a task and wonder why he didn't respond? Then you walk over to his desk and you find out that he is out sick. Times like this, you wish you knew about it earlier so that you could get someone else to help you with the task.

Besides building AttendanceSuite for the employer to keep track of his employees, we also built AttendanceSuite for the employees. For example, as soon as the employee logs in, he is greeted by a calendar that list who's out, whose birthday it is on so on.

This way, employees are always aware of the office status and don't waste time doing needless tasks.

Open Orders in LegalSuite

The legal business is a complicated system. Each different legal operation range from filing a motion, serving a motion and so forth. The process does not stop there - research has to be conducted, document copies requested and every single task logged so that each minute can be billed for maximum profitablity.

LegalSuite is built to support that and more. In LegalSuite, all new orders placed in the system is given a status. All these new orders are easily accessible via the main menu so that they never get lost in the system and is always followed through. Every time there is an update in the order, the status can easily be updated until the order is closed.

If you look at the screenshot, each order information includes information such as the customer, case name, branch and date the last update was assigned.These information helps the user make quick decisions about which order he would like to update. On top of that, the user can also search for specific keyword.

Search and Retrieval in FileItSuite

I have more conscious lately of my carbon footprint. I start feeling guilty if use a styrofoam cup and print extra documents. Gone are the days where I use to print out reams and reams of documents from the web for perusal later.

When we at Matrixwebs started working on FileItSuite, we initially had one goal - search and retrieval. We had customers who had a paper based filing system but were finding it increasingly hard to find relevant documents. So we started small.

First, we added the capability for documents to be uploaded. Then, for each document, the user could add metadata that will make it searchable and linkable to other documents.

They loved it!

Then, they came back saying they wish they could port some old paper documents to this new system. Uploading it one by one was OK, but was there a faster way? Our brilliant programmers then came up with a novel idea of allowing scanned documents to appear in the system. So, all the user had to do was to set some basic configuration on the scanner (one time thing), then load up the scanner with a bunch of documents and hit "Start".

FileItSuite has grown by leaps and bounds from the first time we started on it. Stay tuned for other amazing features.

The MatrixSuites Interface - Decisions, Decisions

The design process for the MatrixSuites product line was a bit of a challenge. It currently consists of 6 software products, all carrying out different tasks for businesses operations. However, from the beginning, it only made sense in my opinion to build a single interface that would easily carry over and work with each product's purpose.

Layout & Navigation

The main menu was placed at the top of the screen simply because I saw our software as being very data intensive. Table data in some cases would most likely include a good amount of columns, thus I came to the conclusion of needing as much horizontal space as possible. Along with the main menu placed up top, sits the utility menu (for user specific functions) and the product logo. In the main body content, you will see a tab system we implemented into some of our products, specifically DistribuSuite and LegalSuite. These applications contain many features, so we thought it would be convenient for a user to open several programs for multi-tasking.

Colors

Colors play a key role in user interaction. It catches attention and moves the eye. The MatrixSuites brand utilizes a range of blues and light grey color palette. We've decided to place the darker colors in the top header portion of the interface. This aids in guiding the eye to where we want more of the initial focus, since the main menu functions and utility bar reside in this area. The background of the page is colored in the light grey to bring out a little more prominence in the white of the main body content. The blues are also found in the designs button set so that they also pop on the page.

Re-branding

Assuming the layout will stay the same, colors can be easily switched out to match the client's own theme. With the power of stylesheets, re-branding is possible and can be carried out in a fairly streamlined way. This feature is loved by clients as it reenforces their own brand identity.

Custom fields in SalesdeskSuite

Variety is the spice of life. But most contact management software expect you to conform to certain rigid rules. For example, you cannot add more than one instant messenger connection to your contact manager because it's built just so. Forget about adding multiple phone numbers.

Here at SalesdeskSuite, we realize that life is much more free form. We realize some people just can be reached at more than 3 different phone numbers. We realize someone might be on GTalk, AOL, ICQ, MSN Messenger and more. So, what did we do to support this limitless lifestyle?

First, we gave the users the ability to add multiple phone numbers (I would have to say sky's the limit). For each of these phone numbers, the user can add their own personalized labels so it makes much more sense to them. Then we added the same idea for instant messengers. Loving it?

We also brought this idea to the next level. We added customizable fields in SalesdeskSuite where users can create custom fields for their contact entries. Say, you would like to keep track of the date a contact would have to be followed up for a renewal and this changes from contact to contact. Simply edit the label of one of the custom fields and add the data. How much more easier can it be?

BlogSuite and Themes

In the current version of BlogSuite, administrators will have access to a new Theme Library that we started putting together in the past couple months. Right now, the library consists of 7 quality themes that can be easily applied to the blog application with just a click of a button. In addition, users can even upload their own custom banner image for the top header and of course, their own logo.

We will constantly add new themes to the library as the software also gets further developments with new features. You can view some of these sample themes here:

Flexibility in scheduling hours

One of the best things I love about AttendanceSuite is its flexibility. Say an employee need to take just a half day off her personal day - all the manager has to do it to go in to the employee tab, set the amount of hours the employee will be gone and that's it. AttendanceSuite keeps track of all the hours the employee has left. To add on to that, the manager can also print various reports about the employee's attendance record.

The same idea applies to sick hours, vacations hours and so forth. With so much flexibility, especially now when employees are all working odd hours (some try to catch up on work after their kids go to bed), this greater flexibility allows everyone to be more productive and the employers happy.

On March 13th, 2009 there was a new release of DistribuSuite. We have added many new features and continuesd to upgrade the accounting portion. Please review upgrade list:

Order Method
1. We have added 2 new order methods in Company setup. Order receipt, which works best for ManufactureSuite. This prints an order receipt at the end of the order entry. The picklists will now be available in Picklist print. If you do not use this settings, the Picklist prints at the end of order entry.

2. Invoice only. This bypasses the picking slip and packing slip. Direct to invoice.

Picklist Print
1. Picklists will go to new program Picklist print when not printed at end of order.

Credit Holds
1. If a customer in CMM is set on the Credit tab as Always fail, for credit check they will be placed on credit hold. This is identified during your order entry process, or anywhere the AR panel shows, in red below the total they owe. When the order completes an info panel displays stating the order has been palced on hold. This also happens if they are over their limit and the "check" option is turned on in CMM. If the option is set to always pass, it will not check. The info panel will notify you of the Credit manager for that account (provided you set it in CMM).

2. Credit Holds can be released under Accounting, Accounts receivable, Credit Hold release. This will place the order in Picklist print.

Order Maintenance
1. You can reprint the order receipt in Order maintenance.

Bill Of Ladings
1. Bill of lading snow display the shiping information when printing. Reminder they need to be setup in BOL maintenance. They print in order confirmation with the packing slip.

2. A token page has been created under Settings to display what fields can be filled in. More feilds can be added as requested.

Item Documents
1. In Item master mainteance, we have added a tab for documents, this section allows you to upload any document you need to print with the Oder receipt. For example a TDS, or a build sheet.

Bill Of Materials
1. A new program has been added under Inventory called Bill of Materials Maintenance. This allows you to build your products and set costs. Adjusting costs will adjust the costs in all each warehouse if you select it to do so. A BOM sheet will print with the order receipt during order entry. A barcode prints at the bottom of the sheet to help you track order order process. Consider this a beta release of BOM, we are still testing and would like to add a few features.

Order confirmation
1. The QTY box in OC has been widened.

Invoice Maintenance
1. Invoice Maint now allows the sipping and taxes to be altered. We do not allow the product to be changed yet.

Incomplete Orders (soon to be Quotes)
1. Added ability to seelect many and clean out incomplete orders.

Tracking Number Maintenance
1. Added new program tracking number maint. This allows you to modify the tracking numbers.

Sales History Report
1. Changed sales history report to fix sales number in the LYMTD and LYTD columns

Vendor Invoices
1. Added ability to enter vendor invoices (only received items for now), into the system. They then sync with Quickbooks to be paid.

Open Vendor Invoices
1. Added report for open vendor invoices. Beta.

Quickbooks
1. Vendor invoices are now synced with Quickbooks.

Invoice - Print
1. Changed invoice date to be more accurate.

2. Added ability to select an invocie date when printing invoices. So you can back date invoices.

On Nov 24, 2008 there was a new release of DistribuSuite. We have addressed some minor issues in the accounting sections, administration area, and a few billing options. We have upgraded the demo site as well as your customer location. Please review upgrade list:

1. Purchase order receiving, multiple lots/locations.
2. Open purchase orer report
3. Purchase Order maint (fixed bug with $ flag).
4. Credit card billing in accounts receivable. This allows you to bill the credit card directly in ARI, when viewing open invoices. Automatically posts a payment to cash receipts. Compliments auto billing.
5. Accounts receivable now has a payment tab with a lsit of payments on it, click to view which invoices were paid with that tab.
6. Bill of Ladings are printing automatically but not auto filling data. Must be configured in BOL Maint. Only applies to new orders. Allows filling in and editing during order confirmation.
7. MSDS print during order confirmation. Requires MSDS upload in Item Master Maint.
8. Both can be turned off during order confirmation.
9. Added in 2 new sales reports in Sales Analysis. Product Line History and Product line detail.

Packing Slips

1. We added an option in the Company (not customer) setup screen to zero the declared value on Packing slips. So new packing slips should print zero.

Purchase Orders

1. Extra PO number (now reference number) is not required.
2. Date wanted prints on the PO.
3. Entered by and contact both print.
4. Tested Global PO note to make sure it prints at the bottom of Purchase orders.

Order and Invoice Maintenance

1. Order maint allows changing of Open Orders only.
2. Invoice maint was added to the accounting menu. This allows changing the price on an Invoice. You can also delete line items. It does not allow adding new items or changing QTY yet. We have to get some inventory items worked out first. We still have a few bugs we are testing. But it is close.

Bill of Ladings

1. BOL’s are printing again.

Bill of Materials

1. We are almost ready to start testing the BOM program. 90% We expect to have it running by next week.

Sales Reports

1. Added search criteria to the Item sales reports. For example if you search for 1 customer/1 item it will display this on the report.

For the last year and a half at Matrixwebs, we've been hard at work making a line of great software to boost productivity and efficiency. What are they, you might ask. Well, without wasting much time, here's a list.

DistribuSuite
